USIT Terms of Trading
Thank you for deciding to book with us. As we hope you will book with us in the future, it is our policy not to hide any unpleasant surprises in small print. In your own interest you should read the following information carefully.
THE CONTRACT: A contract exists between you and Gen TAO Ltd, trading as USIT on completion of this booking form and on receipt of a booking deposit or full payment. When you book with us you accept the conditions of the agreement between you, USIT and the transportation companies' conditions of carriage, or a partner tour operator’s conditions of booking. In cases where deposits are paid, reservations may be held for a specified period of time against a deposit.
USIT reserves the right to cancel any booking not paid for in full within the time specified on payment of deposit. Prices and fares quoted in our publicity materials are ‘From,’ ‘Subject to Availability’ and are correct at time of going to print.
AMENDMENTS: If you wish to change your booking, you must advise us by email to firstname.lastname@example.org On changeable reservations, fees will apply to all changes made. All changes are subject to availability, seasonality, fare and/or tax differences and validity. Change Fees depend on the services on which you are booked and the time that you booked. Some tickets are not changeable. Details of which were advised at time of booking.
Please ensure your name on your invoice receipt matches your passport, as name changes are not permitted.
CANCELLATIONS: Regarding Cancellations, from the time your booking is made, we begin to incur costs. If you wish to cancel your booking, please let us know as soon as you can by email to email@example.com and quoting your booking reference number. Your cancellations will be made effective from the date it is received by USIT via email, in the case of bookings that include physical travel documentation or stock items, the cancellation of a booking can only be finalised when the documentation and/or stock is received back to USIT’s physical office. An administration fee may be payable depending on the regulations laid down by the transportation company, tour operator and the length of time. Details of any such fees will be laid out in your reservation booking terms & conditions at time of booking.
If you purchase a USIT package/offer containing discounted items and choose later to cancel any element of that offer, the remaining elements will be charged at full cost.
In the case of airline ticket cancellations please revert to your reservation terms & conditions for any individual airline fees. In some cases, customers may be eligible for a tax refund on cancelled or unused flight tickets. These taxes are only refundable if your flight ticket in also eligible for refund. In all cases, only a portion of the taxes paid are eligible for refund.
COVID-19: Customers should revert to their reservation terms & conditions for programme specific details around amendments and cancellations related to Covid-19 as details may vary according to country of destination & visa programme type.
TRAVEL ADVISORY & MEDICAL ADVICE: Please note that it is the client's own responsibility to ensure they are aware of any risks for all their intended travel destinations. Up to date travel advisory information concerning such risks while abroad can be found on both www.dfa.ie and www.hse.ie websites. You may also wish to download the DFA’s Travel Wise app to aid you in keeping up to date on the latest travel advice. You can find more details via www.dfa.ie/travelwise/
Clients should seek professional medical advice if they have any questions or concerns on potential health risks while abroad.
INSURANCE: It is a condition of certain suppliers that the consumer is insured before travelling. Insurance may not be mandatory with other suppliers, but it is strongly recommended. We have arranged that passengers can obtain immediate insurance cover if the correct insurance premium is paid at the time of booking and is clearly shown on the booking form. Full details of the cover are included in the cover note which will be given to you when you book. Details of insurance premiums appear on our website. If you choose not to accept USIT's insurance policy then your booking is accepted strictly on the condition that you agree on behalf of yourself and all members of your party to indemnify both ourselves and your tour operators, for any costs that arise which would otherwise have been met had such insurance cover been taken out.
BAGGAGE: All baggage and personal effects are always at the passenger's risk except to the extent of any insurance purchased.
PASSPORTS, VISAS & TRAVEL DOCUMENTATION: We recommend that you travel with a passport that has a minimum validity of 6 months remaining before & during your travels. This is an Immigration requirement for many countries & airlines. If a visa is required at least one spare blank page is usually necessary.
It is your responsibility to ensure you follow passport, visa, and health requirements of your destination and of any stop-over points. Please contact the relevant embassies for the most up to date information prior to departure. Visa requirements are subject to change. Vaccinations and Vaccination Certificates may be needed for all or some of the destinations on your itinerary.
It is your responsibility to ensure you hold the correct documentation as failure to do so may result in your entry being denied. In general, airline tickets cannot be extended beyond 12 months from date of departure. There may be other specific validity restriction applicable to your airline ticket, if so, these will be laid out in your invoice terms & conditions.
When traveling you must always carry proof of your visa status/eligibility which is required by civil aviation authorities or transportation companies. If you have any doubts as to what is needed, please enquire prior to the intended dates of departure. Anyone making a wilfully false statement to obtain youth or student travel facilities shall be refused transportation and shall lose any monies paid. Please ensure your passport and all other travel documents are valid.
COMPLAINTS: We do our best to ensure that your travel arrangements go according to plan. However, in the unlikely event that you have a complaint arising from this booking, please let us know. We recommend you email us in this regard including your booking reference, to our customer service email which is firstname.lastname@example.org.
TRAVEL NOTICES: All passengers must reconfirm all flight times at least 72 hours prior to departure directly with the airlines on your itinerary as schedules may change. Numbers can be found locally.
Please note minimum airport check in times:
- For domestic (Ireland & UK) and European flights: Check in two and a half hours before scheduled departure
- For international flights: Check in three and a half hours before scheduled departure.
CONDITIONS OF CARRIAGE: When you travel by aircraft, train, coach or ship, the conditions of carriage of that airline, railway, coach, or shipping company apply. Some of those conditions limit or exclude liability and are often subject of international agreement between countries. Copies of the conditions which apply to your holiday journey are available for inspection at the office of the carrier concerned. While we will always endeavour to perform our contract, we cannot accept liability or responsibility for any alterations, delay or cancellation caused by war or threat of war, fire, sickness, global pandemics, severe weather, acts of governmental or public authority or other circumstances amounting to a "force majeure".
THIRD PARTIES: Many companies and individuals are involved in the provision of the travel services for which we take bookings. We do not accept any liability whatsoever for the actions or omissions of third parties involved in your travel and holiday arrangements who are not engaged by us as our agents.
PERSONAL DATA: Please note that airlines are required by laws introduced in the US and other countries to give border control agencies access to passenger data. Accordingly, any information airlines hold about you and your travel arrangements may be disclosed to the customs and immigration authorities of any country in your itinerary if so requested.
We will record & retain the personal details you submit to us in making a booking. This data will be used primarily in the provision of the goods & services you have purchased. The data you provide may be retained and used for purposes including, but not limited to: credit or other payment card verification and anti-fraud screening, immigration and customs control, customer surveys, customer relations and to help us in any future dealings with you. For these purposes we may disclose your data to any of the following who may retain that data in accordance with applicable laws: Government & law enforcement agencies; Programme Sponsoring Agencies; credit card payment providers; airlines & other service providers involved in meeting your requirements, This may involve sending your data between different countries, including countries outside the European Economic Area, where under local laws you may have fewer legal rights.
